Upload and Linking Certification to New Components

Introduction

This article explains how to upload a certification and link an existing certificate to the component from the 'Complete Component' task

Quick Links:

Upload a new Certificate

Link Existing Certificate

Accessing the 'Certification' tab

  • After you create the new component, select 'Yes' for the option that requires certification (e.g. sustainably sourced)

  • Once 'Yes' is selected in a field that requires certification (e.g. sustainably sourced) and the form is saved, the Certification tab will be updated to allow uploads. You will only be able to upload certificates after the form has been saved. Jump to: Upload a new document or Link existing
  • If you try to submit a Component without a certification, a validation error will appear, and submission will be blocked (This applies even if the Certification tab has not yet been updated).

  • If 'no' is selected in all certification fields, the system will not allow certification uploads
  • If you haven't selected 'Yes' for a certification field or hasn't saved after selecting 'Yes', the tab will display a message informing them of this.

  • If you have selected ‘Yes’ for the certification fields and saved the form, you will see a list of all certificates required for the component. For each certificate, you will have the option to upload or link up to three documents. This can be done by uploading a new document, selecting an existing one from the library, or a combination of both.

Upload a new Certificate

Click on the 'Add external file' button for the certification that needs uploading. The page will expand and display the certification form.

From this form, click on the Upload button to select a document from your local machine.

Once the document has been uploaded, complete the Certification Document Form by entering the required certification details. You can upload or link up to three certificates per certification type.

Please note that the information required may vary depending on the selected certification type, so ensure all relevant fields are completed before submission.

The Certification Form is a configurable form, similar to component forms, where fields can be added, edited, or removed by the support team based on retailer requirements. To request configuration changes, please contact the Supplier Success team at suppliersuccess@e-halo.com

Note: A certification document uploaded to a component linked to one retailer can also be linked to components or Bills of Materials associated with another retailer, as the certification remains the same.

When viewing a certification document, users will only see the SKUs or components linked to their own domain. For example, if a document is linked to components for multiple retailers, each retailer will only see the components associated with their own products.

Link Existing Certificate

Click on the 'Link Existing Certificate' button within the Certification tab for the relevant certification type to link an existing certificate.

The 'Select certificate' modal will popup:

From this modal, you can view all previously uploaded certificates that match the required classification (for example, Compostable Certification). The certificates displayed will vary depending on the values selected in the specification form.

To help locate the required certificate, you can:

  • Filter results using keywords, certification body, or expiration date
  • Sort the results to easily identify the appropriate certificate

Once you have selected the required certification document, click on the 'Add' button to link the certification to the component.

You can click on the three dots (action menu) on the right-hand side of a document to view additional options. From here, you can download the document or remove it if it was selected or uploaded incorrectly.

Note:
If you have uploaded or selected a document and then update the form to indicate that a certification is not required (for example, selecting 'No' for Compostable Certification), the system will display a warning that saving this change will remove any related documents.
