Complete and Submit a Bill of Materials (Task)

  • Only Product Supplier users can receive the task 'Complete Bill of Materials' once briefed by a retailer.

 

After a product supplier user has completed the 'Create Bill of Materials' task for a product briefed by their retailer, the product supplier users will receive a task to 'Complete Bill of Materials'.

Complete Bill of Materials

1. First, go to your Task Hub, find the 'Complete Bill of Materials' task you wish to complete and click on the task to access the Bill of Materials.

 

2. In the Bill of Materials' details page, you will see the brief instructions added by the retailer at top of page and the brief type. If any attachments were added to the brief instructions, you can access them by clicking on the paper clip icon on the top right of the brief instructions.

3. Add components to the Bill of Materials, by clicking on the '+ Add Components' button.

A new component will appear in the Bill of Materials under its respective component type.

4. Once you add a component, you will need to complete the 'Quantity Per Outer' field for it.

      • 'Quantity per outer' is the number of times a component is used in the Bill of Materials. For example, if you use the same label for the front and back of the product, the quantity per outer for the label is 2.

 

Submit a Bill of Materials

1. Before you submit your Bill of Materials, please ensure:

      • All components in the Bill of Materials have a quantity per outer and have been submitted and confirmed* (for more information, please see our guide on briefing a component).
      • All supporting documents are uploaded.
      • All Attached component groups and Sets have been created (for more information on creating attached components groups, please refer to our guide.)

*Note: a component must be approved by the product supplier user that briefed the component creation, regardless whether it was delegated to a packaging supplier or completed by a product supplier user.

 

2. When your Bill of Materials is ready to be submitted to the retailer for review, click on the 'Submit' button in the top right corner.

 

3. e-halo will ask you to confirm all attached component groups and sets have been correctly added. Click on 'Evaluate and submit'.

 

4. Once the Bill of Materials is submitted, the task will close and will be removed from your task page.

 

5. The retailer user that briefed the creation of the Bill of Materials will receive an 'Approve Bill of Materials' task to review the submitted Bill of Materials.

 

 

WARNING - Missing Mandatory Fields

When you click ‘Complete’ on a ‘Complete Bill of Materials’ task, e-halo will validate the information on every component linked to the Bill of Materials, to ensure no mandatory fields are missing.

If mandatory fields are missing in any component, a validation popup will let me know which components are missing fields:

Clicking on the ‘Edit Components’ button will kick off a new ‘Complete Component’ task for each component you can see in the popup.

The ‘Complete Component’ task will be assigned to the user that submitted the component, allowing them to complete the new mandatory fields.

The components will have to be re-submitted and re-confirmed before the Bill of Materials can be submitted to the retailer for approval (as per the normal process).

Note: if any of the components missing mandatory information have a status of ‘Active’ (are locked for editing), users will only be able to complete the new empty fields when they receive the ‘Complete Component’ task. Any fields previously completed will be read-only and cannot be edited, this is because the existing information in the component has been previously approved.
