Only Product Supplier users can receive the task to 'Create Bill of Materials' once briefed from a Retailer.
Create a New Bill of Materials
1. First, go to your Task Hub, find the 'Create Bill of Materials' task you wish to complete and click on the task name.
2. In the 'Create Bill of Materials' page, you will see the brief instructions added by the retailer at top of page; if any attachments were added to the brief instructions, you can access them by clicking on the paper clip icon on the top right of the brief instructions.
3. To complete the task, select if you would like to create a new Bill of Materials, use an existing Bill of Materials or copy and amend from an existing Bill of Materials.
a) If you chose to 'Create a new Bill of Materials' or 'Use an existing Bill of Materials':
A new 'Complete Bill of Materials' task will be kicked off and assigned to all users in your organisation. From this task, you can create your new Bill of Materials or use an exiting Bill of Materials for the product.
b) If you chose to 'Copy and amend from an existing Bill of Materials', select the Bill of Materials you would like to copy by clicking on the 'Select Bill of Materials' button.
i. A window will pop up for you to select the Bill of Materials you want to copy. You can select a Bill of Materials with:
Any status, active, in progress or approval in progress.
If the brief is 1 stage, you can only select full Bills of Materials.
If the brief is 2 stage, you can select ‘full’ or ‘basic’ Bill of Materials.
ii. The Bill of Materials selected will be displayed under the 'Select Bill of Materials' button.
iii. If you are happy with your selection, click on ‘Complete’ to complete the task.
iv. A ‘Complete Bill of Materials’ task will be kicked off and assigned to all users in the organisation.
v. The new Bill of Materials will already be linked to the same components as the components from the copied Bill of Materials. For example, if the copied Bill of Materials had the components A, B and C, the new Bill of Materials will also be linked to the components A, B and C.
You can unlink and add new components as needed to finish your new Bill of Materials before submitting it.
WARNING - Missing Mandatory Fields
When you click ‘Complete’ on a ‘Complete Bill of Materials’ task, e-halo will validate the information on every component linked to the Bill of Materials, to ensure no mandatory fields are missing.
If mandatory fields are missing in any component, a validation popup will let me know which components are missing fields:
Clicking on the ‘Edit Components’ button will kick off a new ‘Complete Component’ task for each component you can see in the popup.
The ‘Complete Component’ task will be assigned to the user that submitted the component, allowing them to complete the new mandatory fields.
The components will have to be re-submitted and re-confirmed before the Bill of Materials can be submitted to the retailer for approval (as per the normal process).

Note: if any of the components missing mandatory information have a status of ‘Active’ (are locked for editing), users will only be able to complete the new empty fields when they receive the ‘Complete Component’ task. Any fields previously completed will be read-only and cannot be edited, this is because the existing information in the component has been previously approved.
