Viewing Certifications in Documents Hub

Introduction

This article explains how certification documents are stored and accessed within the system.

All certification documents uploaded to components can be accessed in the Documents Hub.

When you access the Documents Hub, you will see a list of all saved certifications. You can use the available hub filters to quickly find and navigate to the required certificates.

From this page, you can manage documents and expand each one to view the items it is linked to.

  1. If you are a retailer or product supplier, you will see the SKUs that the certification is linked to, including both Bill of Materials and product information.
  2. If you are a packaging supplier, you will see the components that the certification is linked to, as you do not have access to Bill of Materials or products.

 

The three dots icon in the Actions column opens a menu with additional options for that specific document.

When you click the three dots, you will see the following options:

  • Download – Allows you to download the document to your device.
  • Upload Revision – Allows you to upload a new version of the same document but keeps the version history intact. You will see the ‘Upload Revision’ button only if the document was originally uploaded from the same domain you are currently in and is linked to at least one component. If the document was uploaded from a different domain or is not linked to any components, the ‘Upload Revision’ button will not be visible.
  • Edit – Aallows you to update or modify the document details. You will see the ‘Edit’ button only if the document was originally uploaded from the same domain you are currently in and is linked to at least one component. If the document was uploaded from a different domain or is not linked to any components, the ‘Edit’ button will not be visible.

Upload Revisions

This option allows the user to upload a revised version of the certification document directly from the Certification Hub.

Once a new revision has been uploaded, all existing components that were linked to the previous revision will be automatically updated to link to the latest version of the certification document.

Instructions to upload the Revision:

  • After you click on 'Upload Revision', the certification form will load in the 'Upload revision' popup.

  • You can click 'Choose File' from the File field and select the file from your local device, this should be the latest certification document. Then fill in all the other mandatory fields, as the new metadata will need to be added to the revised file, and click Add.

Download Document

You can download the document directly from the Certification Hub, the certification details page, or any component linked to the certification.

Edit Component

The Edit option allows you to modify document details such as the name and expiry date.

Opening a Document Details Page

When clicking on a document, you will be directed to that document's details page:

From the document's details page, users can view all certification details, including the document preview, linked SKUs, and revision documents.

Revisions

This section will detail the revision history of the document

You can also download old revisions from this page.

You can also click the 'Options' dropdown and select Download, Upload Revision, or Edit to perform the required action.

Note: The document name will always reflect the latest revision of the asset. However, you can refer to the history to view the previous names
