Upload Certifications to Existing Components

Introduction

This article explains how to upload certifications to existing components (created before the certification feature was enabled) and how e-halo validates certification data and documents at different stages of the workflow. It also outlines what happens when mandatory certification information is missing, including when components are re-opened or rejected and what actions are required before submission or approval can be completed.

Active Components

When you haven an 'active' component in an 'in progress' Bill of Materials (BOM):
  • When you submit the BOM, e-halo checks whether any components are missing mandatory certification documents or have incomplete required fields based on the component form rules (for example, selecting ‘Yes’ for ‘compostable’ requires a certification document), and if any are missing, the component will be re-opened so you can upload the required documents.

You can only add missing data and cannot edit existing data, as this would invalidate the approval.

  • You cannot submit the BOM until all components have the required mandatory data and documents.
  • If a component is missing mandatory fields and documents, it will be re-opened for you to complete both.
  • If a component has a certification document but the form is incomplete, it will be re-opened for you to complete the certification form.
  • If a document is optional and missing, the component will not be re-opened, and you can submit the BOM.
When you have an 'active' component to an 'approval in progress' Bill of Materials (BOM):
  • When you try to complete the task, e-halo checks for any missing mandatory certification documents or incomplete fields based on the component form rules (for example, selecting ‘Yes’ for ‘compostable’ requires a certification document), and you will receive the following message.

  • If any mandatory information is missing:
    • The BOM must be rejected.
    • The affected components will also be rejected and re-opened so you can upload the required documents and complete the certification form.
    • You (Supplier) can only add missing data and cannot edit existing data.
    • After rejection, you cannot submit the BOM until all components are updated, re-submitted, and re-confirmed.
  • If a document is optional and missing, the component will not be rejected, and the BOM can still be approved.

Uploading a Certification to Re-opened Components

When a component is active and is re-opened due to missing certification documents or incomplete mandatory fields, you will receive a ‘Complete Component’ task.

You can open the component either from the task page or by clicking the link in the task notification email. Once opened, navigate to the Certification tab, where you can upload the required certification document(s) and fill the other missing mandatory fields.

You can either upload a new file or link an existing file. Please click the relevant option below and follow the instructions:

Once you have uploaded the required document, you can proceed with completing the Complete Component task, followed by the Confirm Component task, and then send the Bill of Materials for approval.

In Progress Components

When you work on an 'in progress' component:

  • Validation occurs when you try to submit it.

  • You must upload all mandatory documents and complete the certification form before submission.

Approval In Progress Components

When you complete the 'Confirm Component' task:

  • e-halo validates the component data.
  • If any mandatory data or documents are missing, it will show the following validation error:

    • You must upload the required documents and complete the certification form before confirming (if the component is still editable), or
    • You must reject the component so it can be re-submitted with the required information.

In Progress BOMs

When you submit an 'in progress' BOM:

  • e-halo checks if the BOM or any linked components are missing mandatory certification documents or required fields.
  • If components are missing mandatory documents:
    • They will be re-opened so you can upload the required documents and complete the certification form.
    • You must re-submit and re-confirm the components.
    • You cannot submit the BOM until all components are complete.

  • If a document is optional and missing, the component will not be re-opened, and you can still submit the BOM.

Approval In Progress BOMs

When you complete an 'approval in progress' BOM task:

  • e-halo checks whether the BOM or any components are missing mandatory certification documents or required fields, based on the component form rules (for example, selecting ‘Yes’ for ‘compostable’ requires a certification document).

  • If mandatory information is missing:
    • You must reject the BOM.
    • The affected components will also be rejected and re-opened so you can upload the required documents and complete the certification form.
    • You can only add missing data and cannot edit existing data.
    • You must re-submit and re-confirm all components before the BOM can be submitted again.
  • If a document is optional and missing, the component will not be rejected, and the BOM can still be approved.
  • If the BOM itself is missing mandatory documents, you must reject and re-submit it with complete data.
